The 59th Annual Meeting of the Ecological Society of Japan (officially abbreviated by ESJ59) will be held in conjunction with the 5th East Asian Federation of Ecological Societies International Congress (officially abbreviated by EAFES5) at Ryukoku University in Otsu.

Outline of the meeting

The meeting features public lecture, symposia, forums, oral and poster presentations, organized sessions, workshops, business meetings, award recipient lectures and banquet.

Registration for participation, application for oral and poster presentations, and proposals of organized sessions and workshops will be accepted on the official web site: Please refer to "Process of registration" for details.

Any person who wishes to attend the meeting is invited to register on the official web site. However, applicants for oral and poster presentations and organizers of symposia, organized sessions and workshops should be members of the Ecological Society of Japan. To present papers or to organize meetings, membership dues for the 2012 year should be paid. If you are not an ESJ member, please fill and send the Membership Application Form when you apply for an oral or poster presentation or propose an organized session or workshop, and pay the dues for the 2012 year by January 11, 2012. A Program Book of the meeting will be sent in February, 2012 to all members of the ESJ except for those in arrears with the membership dues. Please pay the dues in advance by the end of December, 2011 to receive the book.

The Program Book will not be sent to non-member registrants. For those applicants, please read the program on the official website which will appear in February, 2012 and receive the program on site in the meeting.

Venue and schedule

The meeting will be held at Ryukoku University from Saturday, March 17 to Wednesday, March 21, 2012. Main events are tentatively planned as follows. However, the schedule may be altered depending on the numbers of proposals of symposia, organized sessions, and workshops. Details will be announced on the official web site.

Process of registration

Firstly, please apply for the participation in the registration system linked from the ESJ59 official web site (http://www.esj.ne.jp/meeting/59/). Registration system will be available from October, 2011.

The deadline of prior registration is January 11, 2012, 17:00 (JST). The registration number issued in this procedure and your password are necessary for payment of the fees, submission of the abstract of your presentation, inquiries, and requesting reissue of confirmation e-mail. Please record and hold them by the time.

If you wish to give an oral or a poster presentation, please apply for the presentation at the same time. The deadline of application is November 10, 2011, 17:00 (JST). If you are asigned to talk at a symposium or an organized session, please apply only for the participation in the meeting. Registration for the talk is unnecessary, because the symposium or session organizer will register instead of you. Notice that you can not register the abstract of your talk u nless you've finished registration for the participation in the meeting.

If you wish to purchase the Book of Abstracts, mark the check box of "wish to purchase the Book of Abstracts" on the application form in the registration system. For further details, please refer to "The fees for registration and banquet and payment".

Deadlines

Deadlines for proposals, applications, submissions are as follows.

Proposal for an Organized session and Workshop: October 20, Thursday, 2011, 17:00 (JST)
Application for an oral or poster presentation: November 10, Thursday, 2011, 17:00 (JST)
Abstract submission: January 12, Thursday, 2012, 17:00 (JST) (Notes on Abstract Submission)
Presentation file submission: March 9, Thursday, 2012, 17:00 (JST) (Notes on File Preparation)

NO DELAY IS ACCEPTABLE FOR THE DEADLINE. Please read "Why are we so inflexible? - Reasons for requesting strict compliance with the deadlines and regulations." The applications will be accepted from about one month before the deadline. However, the schedule may be altered depending on the circumstance. Details will be announced on the official web site.

The fees for registration and banquet and payment

The ESJ members should pay the due for the 2012 year by January 11, Wednesday, 2012. New members from the year 2012 should send application form for membership at the time of registration and pay the 2012 dues by January 11, Wednesday, 2012. Refer to "Outline of the meeting" for details on joining the ESJ.

Registration fee (NOT including a copy of Book of Abstracts)

By Wednesday, January 11, 2012:
- Regular members and Non-members(except for students) 8,000 yen
- Students (including non-members) 5,000 yen
After Wednesday, January 11, 2012 and on site:
- Regular members and non-members (except for students) 9,000 yen
- Students (including non-members) 6,000 yen

3,000 yen (Handed on site or sent after the meeting. Please contact the organizing committee)

Banquet

Regular members and non-members (except for students) 7,000 yen
Students (including non-member) 5,000 yen

- Please apply for the online payment system https://amarys-jtb.jp/esj59/ (provided by JTB). However, instructions are written in Japanese. If you cannot pay through the system, please ask the organizing committee how to pay the fees.

- Through the payment process, you will be asked to fill the registration number issued by the ESJ registration system. Select one of the payment methods from (1) via credit card, (2) at a convenience store, (3) via Pay-easy or (4) via bank transfer. Details are shown in the JTB payment system. You can complete the payment on the web site in the case of (1) or (3). However, you need to pay at a convenience store or a bank if you choose (2) or (4).

- The early registration fee is applicable to those who complete the online registration and payment by Wednesday, January 11, 2012.

Organized sessions and workshops

The ESJ59 solicits proposals of organized sessions and workshops in the same way as in the ESJ58. Organized sessions and workshops are invited collectively and divided into organized sessions and workshops by the program committee considering choices by the organizers. We expect many applications from those who understand the following points.

Organized sessions

Participants of the organized sessions are required to pay the registration fee.
For the organized sessions, the abstracts of individual talks will be printed on the Book of Abstracts. The purpose and outline of the whole session will be printed on the program and the Book of Abstracts.
Speakers and organizers should kindly refrain from giving a presentation in a oral or poster session. The program committee does not consider the possible overlaps of the sessions. Please understand and satisfy the needs for sharing limited space and time.

Workshops

For the workshops, only the purpose and outline of the whole session will be printed and the abstracts of individual talks will not be included in the Book of Abstracts.
Speakers and organizers can give a presentation in a symposium, organized session, oral or poster session. However, the program committed does not consider the possible overlaps of the sessions.
Speakers and organizers of symposia and organized sessions should kindly refrain from organizing a workshop. Please understand and satisfy the needs for sharing limited space and time.

Organizers of organized sessions and workshops have to be ESJ members including the Class-C members.

Those who hope to organize organized sessions and workshops should submit proposals by Thursday, October 20, 2011, 17:00 (JST) on the official website.

Both the organized sessions and workshops should be held under the responsibility of the organizers. The program committee is not concerned in the contents, unless they include a slander or a personal attack and so on. Each organized session or workshop will be 2 hours.

Organized sessions and workshops are planned from March 17 (Sat.) to 21 (Wed.), 2012. It is probable that workshops are assigned time zones in the days when some business meetings or the public lecture are held.

Because of limited space and time for the meeting, we may be forced to decline some proposals. If too many workshops are proposed, the program committee will ask the organizers who submit multiple proposals to step aside. Next, we ask the symposium organizers to give up the proposals. If the number of proposed workshops still exceeds the expected, the program committee will determine winning workshops by lottery. The decision will be sent to the organizers by November 18, 2011 (Fri.) via e-mail.

Forums

Several forums organized by some committees in the ESJ will be held. A forum is aimed at widely soliciting opinions of the ESJ members, allowing them to share common information and making general consensus among them through a broad discussion, on the theme the committees are concerned with. The organizers and panelists reserve the right to organize a symposium or give a presentation in some sessions.

Oral and poster sessions

ESJ members are invited to give a presentation in either one style of oral or poster sessions. Please choose your preference for the presentation style (oral or poster). However, for the reasonable use of limited space and time, we may ask you to change your presentation style (oral or poster).

We solicit oral presentations in English for providing ESJ members with opportunities to talk and discuss in English and also to communicate with those who do not understand Japanese.

For assigning rooms and times for oral presentations and sorting poster presentations appropriately by the contents of presentations, please choose three or less sections from the most preferable in the following list.

Notice

Speaker (or main contributor at poster sessions) of each presentation has to be the Class-A or B member of the ESJ (co-authors need not be ESJ members).
Each ESJ member is allowed to represent only one oral or poster presentation (she/he can co-present more than two).
Oral and poster presentations are closed to organizers and speakers in symposia. These restrictions are imposed for sharing limited resources (space and time).

Preparing oral presentations

Session rooms are equipped only with an LCD projector and a Personal Computer. No overhead projector and slide projector are available. Microsoft Power Point Viewer (Power Point 2010 on Windows) and Adobe Acrobat Reader are installed on the PC. The use of your own PC is not acceptable. Please check the Notes on File Preparation for details.

Preparing poster presentations

Each poster will be mounted on a 90cm width by 210cm height poster board. Poster session will be conducted in three sections. About 1200 posters are expected to be acceptable in these three sections. We may ask you to move to oral presentation if the applications for poster presentation exceed the capacity.

Poster award

The Ecological Society of Japan (ESJ) awards a Prize to excellent poster presentations for encouraging young scientists. The award will be selected from posters by young scientists who entered for the contest. Applicants are restricted as follows, Undergraduate, master course or doctor course students who have not yet been granted a doctor’s degree. Details will be printed on the Program Book and posted on the official website. Please prepare your poster, taking care of the points shown in the document. You are also asked to check the page of Poster Award of ESJ .

Best five presenters will be given an opportunity to freely subscribe online edition of one of three journals (Philosophical Transaction B, Proceedings B, Biology Letters) issued by the Royal Society Publishing UK.

Banquet

Enjoy the banquet at Rhiga Royal Hotel Kyoto in the evening of Tuesday, March 20, 2012. The hotel is located 7 minutes westward by walk from JR Kyoto station. We welcome many participants.

Ecocup 2012

A competition of futsal games, Ecocup 2012 is planned as a satellite program on March 22 (Thu.), 2012 at the Kyoto Prefectural Sports Center. It is managed by an independent organizing committee for Ecocup 2012. Please refer to the website (http://sites.google.com/site/ecocup2012/home/).
